Who we are
Votiq ("we", "us") provides a customer feedback and product planning platform. This Privacy Policy explains how we handle personal data when you visit votiq.co.uk, use app.votiq.co.uk, or interact with us.
For GDPR purposes, Votiq is the data controller for personal data described in this policy, except where we process data on behalf of customers as a processor (see Section 8).
Data we collect
The information we collect depends on how you use Votiq:
- Account data: name, email address, organisation, billing details, and authentication information.
- Usage data: workspace activity, configuration settings, support requests, and product analytics needed to operate and improve the Service.
- Website data: IP address, browser type, pages viewed, and cookies or similar technologies on our marketing site.
- End-user data (processor role): when customers embed our widget or operate a portal, we may process identifiers, feedback content, votes, and similar data submitted by their end users on the customer's instructions.
How we use personal data
We use personal data to:
- Provide, secure, and maintain the Service.
- Process subscriptions, trials, and payments.
- Send service, billing, and security communications.
- Respond to support requests and improve product performance.
- Comply with legal obligations and enforce our terms.
- Market Votiq to business contacts where permitted, with opt-out where required.
Legal bases (UK and EEA)
Where GDPR or UK GDPR applies, we rely on:
- Contract: to provide the Service you request.
- Legitimate interests: to secure, improve, and promote the Service in a balanced way that respects your rights.
- Consent: where required for non-essential cookies or certain marketing.
- Legal obligation: where we must retain or disclose data to comply with law.
Sharing and processors
We use trusted subprocessors for hosting, payments, email, analytics, and customer support. They may process personal data only on our instructions and subject to appropriate safeguards.
We may disclose data if required by law, to protect rights and safety, or in connection with a merger, acquisition, or asset sale with appropriate notice where required.
We do not sell personal data.
International transfers
If personal data is transferred outside the UK or EEA, we use appropriate safeguards such as UK International Data Transfer Agreements, EU Standard Contractual Clauses, or equivalent mechanisms unless an adequacy decision applies.
Customer end users
When you use Votiq to collect feedback from your users, you are typically the data controller for that end-user data and we act as a processor. You are responsible for your privacy notices and lawful bases. A data processing agreement is available on request for business customers where required.
Retention
We retain personal data for as long as needed to provide the Service, meet legal obligations, resolve disputes, and enforce agreements. Retention periods vary by data type and are reviewed periodically.
Your rights
Depending on your location, you may have rights to access, rectify, erase, restrict, object to processing, and data portability. You may also withdraw consent where processing is consent-based and lodge a complaint with a supervisory authority.
To exercise rights, contact [email protected]. We may need to verify your identity before responding.
See our GDPR page for additional information for individuals in the UK and EEA.
Security
We apply technical and organisational measures designed to protect personal data, including access controls and encryption in transit. No method of transmission or storage is completely secure.
Children
The Service is not directed at children under 16, and we do not knowingly collect their personal data.
Changes
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect the latest version.
